Tech Support Specialist

Event Coordinator

In this position you will be required to:

Work with the Events Committee Director to help plan, organize and execute hybrid events for our Members.

The following tasks will be distributed among the team of Event Coordinators:

- Plan all event details following our templates and guidelines

- Define and publish event in our Integrated Association Management System

- Coordinate with Marketing Committee to promote our events

- Coordinate with Membership Committee to manage registration and mailings

- Coordinate with presenters, venue sponsors, and vendors, as necessary

- Conduct in-person, online, and hybrid events

- Manage event logistics, including food & beverage

- Conduct and analyze post-event surveys



Qualifications / Skills:

- Organized and methodical

- Attentive to detail

- Experience organizing events would be an asset

Volunteering Coordinator

Work to be done:

Volunteering is the lifeblood of Hispanotech.

In this position you will be required to:

- Follow-up promptly (within 1 week) with Members that offer to volunteer (at registration, or when updating profile)

- Maintain the roster of Volunteers, including availability and special skills.

- Manage Volunteer Requests and assignments (respond within 1 week or less)

- Maintain the Volunteers Section of our iAMS website

- Produce certificates and letters or reference for Volunteers that complete their assignments.

The Primary volunteer may delegate some tasks to the Backup volunteer, but s/he must have a full understanding of all procedures.


Qualifications / Skills:

- Organized and methodical

- Interviewing skills (online)

- Interpersonal skills

- Experience in Human Resources is an asset

Mentorship Pilot Tester

Work to be done:

We need Volunteers to help us test our new Mentorship Program software, acting as Mentees. Hispanotech has been running its Mentorship Program since 2015, and this will be the first year that we run it using commercial purpose-built software (Mentornity.com)

The "live" program will run from mid-August to mid-November, and the Pilot will run during June.

Process Documentation - iAMS

Work to be done:

We are implementing an Integrated Association Management System (iAMS), using Personify's Wild Apricot software (www.wildapricot.com) 

In this assignment, the Volunteer will work with members of the iAMS Project Team to compile and produce an Operations Manual, including the processes and procedures to administer the following areas:

  • Membership
  • Events
  • Email Campaigns 
  • Website 
  • Web Store 
  • Job Board 
  • Volunteer Board 

iAMS touches most aspects of Hispanotech's operation, and the resulting Operations Manual will be used by Volunteers in all our Committees. 


Qualifications / Skills:

  • Methodical, organized and structured 

  • Very good English writing skills 

  • Experience producing business process and operational documentation

Partnership Relationship Manager

Work to be done:

The Volunteer(s) will work with the Director of Alliances to maintain a mutually beneficial relationship with organizations that engage with Hispanotech, including: 

  • Corporate Sponsors, and their ERG's 
  • Partner associations and organizations focused on helping immigrant professionals - Bridging Programs in Canadian universities and colleges 
  • Latin American Consulates 
  • Latin American community organizations 

Typical duties will include: 

  • Preparing a relationship success plan 
  • Maintaining regular contact with assigned partner organizations 
  • Keeping partner informed of Hispanotech's activities, and highlighting potential opportunities for collaboration 
  • Renewing engagement contracts, LoI's or MoU's, as applicable. 

Qualifications / Skills:

  • Above average verbal and written communication skills (in English and/or French).
  • Personable, organized and reliable.

Other:

  • Experience as a B2B Sales/Account Manager or Customer Success Manager would be very valuable.

Analyst, Recognition eBadge Project

(Volunteering Committee)

Commitment:

3 hours per week for a minimum of 4 months.


Work to be done:

Hispanotech wants to do a trial of the CanCred platform to issue digital badges to recognize the contribution of Volunteers, Directors, and Mentors.

We have access to a 60-day trial of CanCred Factory, and/or a Free license. A sponsor is willing to pay for the Basic license, and if the trial is successful we could find a sponsor to pay for the Premium license.

The objectives of this assignment are:

  • To implement and test the features of CanCred Factory, to identify the license level appropriate for Hispanotech. 
  • To test the use of CanCred Passport (free app) to offer it to all Hispanotech members (not just the recipients of our eBadges).
  • To define and document the processes, and identify the resources required, to implement, transition to, and operate the Recognition Program on an on-going basis. 
The target date for live implementation is August 1, 2022.

  • High level understanding of web and mobile applications (no coding required). 
  • Good verbal and written communications skills.
